1. Introduction
At StyleVibe, we are committed to providing high-quality professional styling services. We understand that circumstances can change, and we have developed this Refund Policy to outline the conditions under which we provide refunds for our services. This policy applies to all services booked through our website stylevibe.com or directly with our stylists.
By booking or purchasing our services, you agree to the terms of this Refund Policy. Please read this document carefully before making a booking.
2. Service Deposits and Payments
2.1 Deposits
For most of our styling services, we require a deposit at the time of booking to secure your appointment. The deposit amount varies depending on the type of service booked and will be clearly communicated during the booking process.
2.2 Final Payments
The remaining balance for services is due either:
- At the time of service delivery
- Prior to the appointment as specified in your booking confirmation
- In installments as outlined in a personalized service agreement (for larger styling packages)
3. Cancellation and Rescheduling
3.1 Client-Initiated Cancellations
Our cancellation policy is based on the notice period provided:
- More than 48 hours notice: You may cancel your appointment and receive a full refund of your deposit, or reschedule at no additional cost.
- 24-48 hours notice: You may reschedule your appointment once at no additional cost, or cancel with a 50% refund of your deposit.
- Less than 24 hours notice: Deposits are non-refundable, but you may reschedule your appointment once with a £25 rescheduling fee.
- No-shows: Clients who do not attend their scheduled appointment without notice will forfeit their deposit in full and may be required to pay a new deposit for future bookings.
3.2 Rescheduling
We understand that schedules can change. You may reschedule your appointment according to the following terms:
- Appointments can be rescheduled up to two times without losing your deposit, provided sufficient notice is given as outlined above.
- After the second reschedule, a £15 rescheduling fee will apply.
- All rescheduled appointments must be booked within 3 months of the original appointment date.
3.3 StyleVibe-Initiated Cancellations
In the rare event that StyleVibe needs to cancel your appointment due to stylist illness, emergency, or other unavoidable circumstances:
- You will receive a full refund of any deposit or payment made, or
- You can reschedule your appointment at no additional cost, with priority scheduling
- If your appointment is part of a package or series of sessions, you may be offered a complementary additional service as compensation for the inconvenience
4. Service Satisfaction Guarantee
4.1 Our Commitment to Quality
We strive to provide exceptional styling services that meet your expectations. If you are not completely satisfied with your styling service, please notify your stylist during or immediately after your session so we can address any concerns directly.
4.2 Refunds for Service Dissatisfaction
If you are dissatisfied with your styling service:
- You must notify us within 48 hours of service completion by emailing [email protected] or calling +44 8813958074.
- We will arrange a consultation to understand your concerns and determine the appropriate resolution.
- Depending on the circumstances, we may offer one of the following options:
- A follow-up session to address specific concerns at no additional cost
- A partial refund of the service fee
- A credit toward future services
Please note that subjective style preferences or changes in your requirements after service delivery may not qualify for a refund. Our stylists work with you based on the information and preferences you provide during consultation.
5. Package Services and Subscriptions
5.1 Styling Packages
For multi-session styling packages (such as Seasonal Styling Packages or Complete Wardrobe Overhauls):
- Packages are non-refundable once the first session has been delivered.
- If you wish to cancel a package before the first session, the cancellation terms in section 3.1 apply.
- Unused sessions within a package may be transferred to another service of equal or lesser value, subject to a £35 administrative fee.
- All package sessions must be used within 12 months of purchase unless otherwise specified in your service agreement.
5.2 Subscription Services
For recurring subscription styling services:
- You may cancel your subscription at any time by providing written notice at least 7 days before your next billing date.
- Refunds are not provided for the current billing period once it has begun.
- Subscription services can be paused for up to 3 months once per year with no penalty.
6. Shopping Services
6.1 Personal Shopping
For personal shopping services where we purchase items on your behalf:
- The styling service fee (our professional fee) is non-refundable once the shopping has been completed.
- Merchandise purchased is subject to the return policies of the individual retailers.
- We will assist with returns of unwanted merchandise according to retailer policies, but cannot guarantee refunds for items that have been purchased.
- If a retailer provides store credit instead of a refund, we will transfer this credit to you.
6.2 Styling Sessions with Shopping Component
For services that include both styling consultations and shopping assistance:
- If the shopping portion of the service cannot be completed due to client scheduling changes, no refund will be issued for the unused portion.
- We will make reasonable efforts to reschedule the shopping component within 30 days of the original appointment.
7. Gift Certificates and Promotional Offers
7.1 Gift Certificates
For styling services purchased as gift certificates:
- Gift certificates are non-refundable but are transferable to another person.
- Gift certificates have an expiration date of 12 months from the purchase date unless otherwise specified.
- After expiration, gift certificates may be honored at our discretion, possibly with a reactivation fee.
7.2 Promotional Offers and Discounts
For services purchased with promotional discounts or special offers:
- Services purchased at promotional rates are subject to the same cancellation and refund policies as regular-priced services.
- If a partial refund is issued for a discounted service, it will be calculated based on the discounted price paid, not the regular price.
- Some promotional offers may have additional terms and restrictions regarding refunds or exchanges, which will be communicated at the time of purchase.
8. Digital Products and Online Services
For digital styling guides, virtual styling sessions, and other digital products:
- Due to the nature of digital products, all sales are final and non-refundable once the digital content has been delivered or downloaded.
- For virtual styling sessions, the standard cancellation policy in section 3.1 applies.
- If you experience technical difficulties during a virtual session due to our systems, we will reschedule or provide a refund at our discretion.
9. Refund Processing
When a refund is approved according to this policy:
- Refunds will be processed using the original payment method whenever possible.
- Credit card refunds typically take 5-10 business days to appear on your statement, depending on your financial institution.
- Alternative refund methods may be used if the original payment method is no longer available.
10. Force Majeure
StyleVibe will not be liable for any failure or delay in performing our obligations if such failure or delay is due to circumstances beyond our reasonable control, including but not limited to acts of God, natural disasters, pandemic, government restrictions, or other force majeure events.
In such cases:
- We will work with you to reschedule services when circumstances permit
- If rescheduling is not possible within 6 months, we may issue a credit valid for 18 months from the date of the original booking
11. Changes to This Policy
We reserve the right to modify this Refund Policy at any time. Changes will become effective upon posting to our website. Your continued use of our services after any modification indicates your acceptance of the updated policy.
